Purpose
To provide support services to all teams and a safe and adequate work facility.
Summary
The Office Coordinator is responsible for furthering God's kingdom through supporting all of the teams at The MomCo and specifically coordinating and executing office duties.
Job Responsibilities
General Office Support
- Ensure front lobby area is professional in appearance and operation.
- Ensure meeting spaces are professional in appearance and operation, and prepared for meetings with internal
and external participants.
- Manage Copy room/Workroom, making sure it has all supplies in stock, is professional and organized, and
helps facilitate an efficient work process for staff.
- Manage general MomCo voicemail boxes, email inboxes, meeting room use, and checkout equipment.
- Ensure the office is an efficient, safe, and neat work environment.
- Ensure office copiers and printers are in proper working order.
- Oversee the inventory of office supplies and other materials through managing inventory and ordering
supplies, while working within office budget.
- Ensure the kitchen is clean and stocked.
- Oversee overall implementation of the Office Design standards, guaranteeing that each space meets approved
standards.
- Prepare office spaces for new employees.
- Keep non-used parts of the building organized and clean, free of junk and excessive storage.
- Responsible for keeping an organized warehouse with a schedule to keep storage organized and maintained.
- In charge for documenting all MomCo best practices (Standard Operating Procedures), working with each
team to define and document key processes.
Processing Mail
- Receive, process and distribute, incoming mail from USPS, UPS, FedEx, Amazon, etc.
- Organize, process and send outgoing mail to appropriate shipping service.
Office Budget Management
- Make payment requests/purchase for office supplies, office and building services, and other office expenses.
- Monitor monthly expenses compared to budget, keep Controller informed of variances and possible future
variances.
- Assist Controller in managing Office budget.
Data processing
- Act as primary data processor, becoming an expert in Fusion and Asana.
- Ensure all aspects of data processing are covered in a timely and accurate manner.

- Ability to do some occasional lifting and moving of boxes of 25 lbs.
Benefits and Pay
- Reports to: Executive Administrator
- Status: Non-Exempt
- Hours: 30 hours/week
- Pay Range: $19 - $20 per hour, depending on experience and qualifications
